At the end of the year, our team advises all the internal stakeholders about their budgeting 💰 for the next year. We used to organize 1-hour meetings with all of them. In those meetings, we tell them basically the same story (a general explanation) combined with tailor-made advice.
This year we came up with something different:
What if we record that same story on video 📹 and mail our advice including that general explanation video? Would that save a lot of time? 🤔
Well…. it saved us a total of 35 hours of meeting time!! 🥳
The calculation:
Normally we would have 14 separate meetings with, on average, 3,5 people involved, and the meetings last 1 hour.
➡️ So: 14 meetings x 3,5 people x 1 hour = 49 hours people spend in meetings.
So what happened? After sending the mail with the video, out of the 14 stakeholders:
👉 10 accepted the proposal immediately
👉 4 asked for a meeting, which costs us 14 hours (4 meetings x 3,5 people x 1 hour )
The Result:
Instead of 49 hours in meetings, we were able to spend 35 of those hours more focused on our core business!
(I mean, we all agree that meetings aren’t the best way to get deep work done right? 🤔)
And those 4 that still had questions?
We could really dive into those and give them the best help ever!! 😀
